Who operates ReadyOps
ReadyOps is operated by Shivneel Prasad, trading as READY OPERATIONS (business registration number 2026RB021415). ReadyOps is the product brand. For business, privacy or legal enquiries, email admin@readyops.dev.
Information we handle
- Firm access requests: the request form stores your firm name, contact name and email, requested number of staff seats, and any note you include. ReadyOps uses this to review your request and provision firm accounts. Do not include client records or confidential financial information.
- When an authorised firm uses the app: account and sign-in details; staff and client contact records; engagement and checklist details; review decisions, drafts, and audit events; and, where enabled, evidence files and related metadata.
- Connected Gmail: if a firm administrator connects a mailbox, ReadyOps can access the mailbox data needed for the visible intake and follow-up features. This may include message content, headers, and attachments. Sending is a separate action and requires human approval in ReadyOps.
- Technical data: infrastructure may record connection details such as IP address, browser information, request time, and error or security events to operate and protect the service.
How we use information
We use information to provide the service, authenticate team members, organise engagement work, show evidence and readiness status, create reviewable follow-up drafts, respond to support requests, and protect the service from misuse. We do not sell personal information or use it for advertising.
When a user asks ReadyOps to analyse an email or attachment, the selected content and relevant engagement context may be sent to the OpenAI API to produce suggestions. The request is configured not to store response state and API inputs and outputs are not used to train OpenAI models by default. OpenAI’s standard abuse-monitoring logs may nevertheless retain content for up to 30 days; ReadyOps has not enabled an approved zero-data-retention setting.
Service providers and Google data
ReadyOps relies on service providers to host the website and app, authenticate users, store app information, connect Gmail when authorised, and provide requested AI analysis. Current providers include Cloudflare, Supabase, Google, and OpenAI. They process information to provide their services under their own terms and privacy notices. Processing or storage may occur outside Fiji.
ReadyOps’ use of information received from Google Workspace APIs will adhere to the Google Workspace User Data and Developer Policy, including its Limited Use requirements. ReadyOps does not use Google user data for advertising or general AI model training.
We may also disclose information when required by law or where reasonably necessary to protect people, the service, or legal rights. We do not otherwise sell or share it for another company’s advertising.
Retention and deletion
Our default schedule is seven years after engagement closure for documents and engagement records; seven years from the event for audit and security history; and 90 days for imported email content and AI analysis unless retained as engagement evidence. A shorter period may be agreed in writing. Legal holds and applicable legal duties suspend deletion. Closed engagements are reviewed for scoped expiry rather than deleted solely because a subscription ends.
Offboarding suspends access and provides a 30-day export window. Active customer data is deleted only after ReadyOps administration explicitly approves deletion and verifies the organisation received its export. Shared identities needed by another organisation are preserved. Minimal audit and deletion history remains for seven years. Backup and completed export copies expire within a further 35 days, unless legally held; expiry is enforced by a daily processing job and provider deletion processing may add time. We do not promise immediate physical erasure from provider media.
Deletion in ReadyOps does not delete originals from your mailbox or copies you downloaded. AI providers and other subprocessors apply their disclosed retention terms; this schedule does not establish Zero Data Retention at those providers. Recovery procedures check current deletion records to prevent deleted organisations from being restored.
To ask about access, correction, or deletion, write to admin@readyops.dev from an address we can verify. We will review the request and explain any limits. Do not rely on ReadyOps as the only copy of business records.
Security and your responsibilities
We use access controls and security measures appropriate to a developing service, but no online system can be guaranteed secure. Firms must control staff access, protect credentials, and obtain any permissions and notices required before handling information about their clients. The service is not approved for live client data unless ReadyOps confirms that approval in writing.
Cookies, local storage, and third-party resources
The public landing page does not use an analytics or advertising profile. Its early-access link opens the ReadyOps firm request form; when submitted, the firm and contact details, requested seat count, and optional note are stored for review as described above. The app uses browser storage for essential sign-in and app operation. The website loads typefaces from Google Fonts, so a page visit may send basic connection information to Google. Your browser may separately retain form entries through its own autofill settings.
Changes to this notice
We may update this notice as the service changes. We will update the effective date above when we publish a change. Material changes affecting an authorised firm should also be communicated through the service or by email where practical.
